Zoho CRM Free Plan (2026): 3 Users, 5,000 Records, One Pipeline

Disclosure: the Zoho link marked below sits in an affiliate slot on this site, but no Zoho affiliate code is live here yet, so that link earns exactly $0 today — it is a placeholder, not a payday. Bigin and HubSpot have no affiliate relationship with this site at all, so every link to them is a plain editorial citation to the page I read the numbers off. Nothing here is sponsored, no vendor saw this before it went live, and this site has collected no affiliate revenue to date.

Short answer: Zoho CRM's Free edition is genuinely free forever for 3 users, with Leads, Contacts, Accounts and Deals all switched on. The limit that ends it is not on the pricing page at all: the full feature comparison lists Free at 5,000 records (10 MB) of data storage, and the "buy more storage" row is a dash on Free, so the only exit is a paid plan. Two more things the plan summary does not tell you: there is one pipeline (the comparison table reads "Default (standard) pipeline only"), and the free edition cannot connect your mailbox — Email Integration via IMAP/POP3/Gmail API/Graph API is a dash on Free, mass email does not exist there, and workflow email notifications on Free carry the footnote "Emails can be sent only to the CRM users." Paid tiers are Standard $14/user/month billed annually or $20 month-to-month, Professional $23/$35, Enterprise $40/$50, Ultimate $52/$65. Every figure below was read off the vendors' own pages on October 6, 2026.

The premise I had to correct: "sales pipelines" is wrong, and the plural is the problem

This page started from a one-line brief: "Zoho CRM's free plan allows three users with lead management, sales pipelines and basic workflow automation." Two thirds right, and the wrong third is the one that decides whether the plan fits a real sales team.

And the brief omits the limit that actually ends the plan, which I only found two sections deep in the comparison table. That is the next heading.

The cap that ends the free plan: 5,000 records, and you cannot buy your way out

Under Data Administration, the Data Storage (1–200 users) row reads:

EditionData storageBuy more data storage?
Free5,000 records (10 MB)— (not offered)
Standard100,000 records (200 MB)— (not offered)
Professional10 GB (~5 million records)US$4 for 100 MB/month
Enterprise10 GB (~5 million records)US$4 for 100 MB/month
Ultimate10 GB (~5 million records)US$4 for 100 MB/month

Two things follow from those two columns. First, 5,000 records is a whole-account number, not a per-module one: leads plus contacts plus accounts plus deals plus every activity record you log, all drawing on the same 5,000. A salesperson who logs calls properly will burn through it faster than one who does not, which is a perverse thing for a CRM to reward. Second, the add-on storage row is a dash on Free and on Standard — you cannot pay $4 to continue. At 5,000 records the only published route forward is a seat upgrade, and the first one that gives real headroom (Professional, ~5 million records) is $23/user/month annually.

Zoho's pricing page does not say what happens when you reach 5,000 — whether new records are refused, whether imports fail, whether old ones are purged. I am not going to tell you, because the page does not. What I can tell you is the number exists, that it is absent from the pricing card most people read, and that an account importing a 1,000-row spreadsheet (the free import batch limit, as it happens) is a fifth of the way there in one click.

File storage is a separate budget and is more generous: 1 GB for the whole org on Free, the same 1 GB base on Standard but with 512 MB added per user licence. Extra file storage is US$4.60/month for 5 GB — and that row, too, is a dash on Free.

The free edition cannot email your customers

This is the finding I did not expect and it reframes what the plan is for. Across three rows of Zoho's own comparison table:

Read together: Zoho CRM Free is a place to record sales conversations, not a place to have them. The outbound channel is the thing you are buying when you move to Standard, and that is a fair trade — it is just not what "free CRM with workflow automation" sounds like.

What every tier costs: annual and monthly, side by side

Read from zoho.com/crm/zohocrm-pricing.html with the billing toggle clicked both ways, and cross-checked against the full comparison page (zoho.com/crm/complete-feature-list.html, stamped "Last updated on: May 12, 2026"). The pricing page defaults to the Annually column, so the $14 you see first is not the month-to-month price. Note also that the pricing page shows four plans; the comparison page shows five — Ultimate does not appear on the pricing page at all, only in an FAQ answer and in the comparison table.

EditionAnnual (per user/month)Month-to-monthUsersData storagePipelinesWorkflow rulesCustom fieldsMass email
Free$0$035,000 records (10 MB)Default only10/module, max 5 active——
Standard$14$20per seat100,000 records (200 MB)530/module, max 15 active10/module250/day/org
Professional$23$35per seat10 GB (~5M records)1080/module, max 40 active155/module500/day/org
Enterprise$40$50per seat10 GB (~5M records)20125/module, max 75 active300/module1,000/day/org
Ultimate (not on the pricing page)$52$65per seat10 GB (~5M records)50150/module, max 100 active500/module2,000/day/org

One more line on the same page that is easy to miss: Lite Users at US$12/user/month billed annually or US$15 month-to-month, offered only on Enterprise and Ultimate. If most of your team only needs to look things up, that is the row that changes your bill — and it does not exist at the tiers most small businesses buy.

Zoho's pricing page also states plainly: "Local taxes (VAT, GST, etc.) will be charged in addition to the prices mentioned."

The annual discount, checked by multiplication

Zoho does not badge a percentage, so here is the arithmetic on its own published numbers. Nothing here is a vendor claim; it is four columns of multiplication you can redo in your head.

Edition12 × monthly12 × annual rateSaving per seat/yearActual discount
Standard$240$168$7230.0%
Professional$420$276$14434.3%
Enterprise$600$480$12020.0%
Ultimate$780$624$15620.0%

The practical reading: the annual commitment is worth most exactly where small teams land. Professional billed annually costs 34.3% less than paying monthly — the largest discount on the ladder, larger than Enterprise's or Ultimate's. If you are confident enough to commit a year, Professional is where that confidence pays best.

And the number that matters when you leave the free plan: three people on Standard is 3 × $14 × 12 = $504 a year committed, or $720 a year if you keep the flexibility of paying monthly. That $216 gap is the real price of not signing up for twelve months.

What Free genuinely gives you, with no asterisk

It would be dishonest to spend six hundred words on the caps and skip the fact that this is one of the more generous free CRMs on the market. From the Free column of Zoho's own table:

For a solo operator or a two-to-three person shop that lives in a shared inbox and wants one place to see who owes them a reply, that is a real product and not a trial.

The customisation ceiling, which arrives earlier than the record ceiling

The free edition allows zero custom fields. The Custom Fields row is a dash on Free and 10 fields/module on Standard. There are 30 "Personal Fields" per module, but those are a user's own private fields, not a shared schema. So if your business needs one extra field on a Deal — a job number, a referral source, a renewal date that everyone can see — you are already on a paid plan. Alongside that: Profiles 2, Roles 2 (three users, two permission profiles), 5 custom list views per module, 50 records per list view, 5 home page components, Kanban view: 1, limited to the Deals and Activities modules, and Reminders marked "Task only".

Third-party integrations are the other early wall. Ticked on Free: Zoho's own apps. Dashes on Free: Google Calendar synchronisation, Google Contacts synchronisation, Slack, WhatsApp Business, LinkedIn Sales Navigator, Zoho PhoneBridge, online meeting providers, and the CRM Marketplace extension catalogue (5 extensions on Standard, 10 on Professional, 20 on Enterprise, 50 on Ultimate). The brief's "integrations and mobile apps" framing holds for mobile and collapses for integrations: at $0 you can integrate with Zoho, and broadly not with anyone else.

Zoho's own answer when Free runs out: Bigin

Zoho sells a second, smaller CRM, and on several rows it is a straighter comparison than the Zoho CRM ladder. From bigin.com/pricing.html, read October 6 2026 with both billing states exposed:

Bigin planAnnual (per user/month)Month-to-monthRecordsPipelinesAutomationsCustom fields
Free$0$0500Single pipeline3—
Express$7$950,0003 team pipelines3010/module
Premier$12$15100,0005 team pipelines5025/module
Bigin 360$18$211,000,00015 team pipelines10050/module

The trade is clean and it cuts both ways. Bigin Free is a single user and 500 records — a tenth of Zoho CRM Free's record ceiling and a third of its seats — but it includes a built-in phone, Zapier, booking/appointment scheduling and a no-code form, and Bigin Express at $7/user/month annually ($9 monthly) brings email and WhatsApp integration, mass email and 50,000 records for half the price of Zoho CRM Standard. For a small team whose problem is "we need email in the CRM", the cheapest published fix inside the Zoho family is not Zoho CRM Standard at $14. It is Bigin Express at $7.

The HubSpot comparison, with one honest gap

The default alternative everyone reaches for is HubSpot's free tier. On hubspot.com/pricing/crm, read the same day, the Free Tools card reads "$0/mo" and, directly underneath, "Free for up to 2 users. No credit card required."

That single line settles the seat question: on seats alone, Zoho CRM Free (3 users) is larger than HubSpot Free (2 users). Anyone still repeating the old "HubSpot's free CRM gives you unlimited free users" line should re-read the card.

The Starter tier is where I hit something I will not pretend to have resolved. The card reads "Starts at $7/mo/seat" with $20/mo/seat struck through beneath it, under a site-wide banner reading "Save up to 65% on Starter — Smarter tools, lower price... New customers only. Select offers available for a limited time." The Pay Monthly / Pay Annually control sits below the price and was covered by HubSpot's own chat widget in every state I could get the page into, so I cannot tell you which billing cycle the $7 belongs to, and I am not going to guess. Treat $20/mo/seat as the standing number and $7 as a promotional rate to confirm at checkout. Starter includes 1,000 marketing contacts and 500 HubSpot Credits per the same card.

If what you actually want is funnels, checkout and email rather than a sales pipeline, the category comparison is in Systeme.io vs HubSpot — different tool shape, very different bill.

When to upgrade: the triggers, in the order they usually fire

  1. The first time you want to email a customer from the CRM. Free cannot connect a mailbox and cannot mass-email. This is usually week one. → Standard, or Bigin Express at half the price.
  2. The first custom field. Zero are allowed at $0. A job number, a lead source, a renewal date — any one of them ends the free plan. → Standard (10/module).
  3. The second sales process. One default pipeline only. The moment new business and renewals need different stages, you are out. → Standard (5 pipelines).
  4. The fourth person. Three seats, hard. → Standard, at $14/seat annually or $20 monthly.
  5. The 5,001st record. Slower to arrive than the others but the most awkward, because add-on storage is not sold at this tier. → Standard (100,000 records), or Professional for real headroom.
  6. Anything needing Google Calendar sync, Slack or WhatsApp. All dashes on Free. → Standard.

Notice how few of those are about volume. The free plan is not usually outgrown; it is bumped into, by one feature at a time, and almost always by email first.

What I could not verify, and will not guess

Verdict

Zoho CRM Free is one of the better free CRMs, and the brief that sent me here undersold it in one way and oversold it in another. Three users with the full Leads/Accounts/Contacts/Deals set, web-to-lead capture, mobile apps and unrestricted data export is a genuine product. But "sales pipelines" is wrong — there is exactly one — and "basic workflow automation" describes rules that can create a task and email your own staff, with field updates, record assignment, webhooks and scheduled actions all withheld.

The honest summary is that Zoho CRM Free is a system of record, not a system of action. Use it when three people need one shared view of who is in the pipeline and you are content to do the actual communicating from your inbox. Leave it the moment you want the CRM to send something, add a field or model a second sales process — and when you do, price Bigin Express at $7/user/month annually before you default to Zoho CRM Standard at $14, because for the email-in-the-CRM problem it is the cheaper published answer from the same vendor.

More free-tier reality checks from the same series: the best AI automation tools hub maps where a CRM sits in a one-person stack, Jotform's free plan limits covers the same unprinted-cap problem in forms, Calendly's free plan limits does it for scheduling, HelloSign's free plan limits does it for e-signatures (Zoho Sign's free plan is the most generous of the four tools compared there), and Wave's free invoicing plan does it for billing. The Template availability currently offers no download or email signup.

FAQ

Is Zoho CRM really free forever?

Yes, for up to 3 users. The pricing card reads "Forever free, for 3 users" at US$0 with no credit card required, and there is no trial clock on it. Leads, Accounts, Contacts, Deals, standard reports, one web form per module, mobile apps and data export are all included. The limits are elsewhere: 5,000 records, one pipeline, no custom fields and no mailbox integration.

How many records can Zoho CRM's free plan hold?

5,000 records, or 10 MB, for the whole organisation — leads, contacts, accounts, deals and activities all drawing on the same allowance. That figure is on the complete feature list page rather than the pricing page. The add-on storage row (US$4 for 100 MB/month) is a dash on both Free and Standard, so at the ceiling the only published route forward is upgrading the edition, not buying storage.

Can you send emails to customers from Zoho CRM's free plan?

Not really. Email Integration via IMAP/POP3/Gmail API/Graph API is a dash in the Free column, Mass Email is a dash on Free (it starts at 250/day/org on Standard), and the workflow Email Notifications row for Free carries the footnote "Emails can be sent only to the CRM users." Free allows Individual Email at 50 per user per day with a 150/org maximum and 10 custom email templates, but the mailbox connection itself is a paid feature.

How much does Zoho CRM cost in 2026?

Standard is $14/user/month billed annually or $20 month-to-month; Professional is $23/$35; Enterprise is $40/$50; Ultimate is $52/$65 and appears only on the comparison page, not on the pricing page. Working the multiplication: the annual commitment saves 30.0% on Standard, 34.3% on Professional and 20.0% on Enterprise and Ultimate. Local taxes are charged on top.

Does Zoho CRM's free plan support multiple sales pipelines?

No. The Multiple Sales Pipeline row reads "Default (standard) pipeline only" for the Free edition, against 5 on Standard, 10 on Professional, 20 on Enterprise and 50 on Ultimate. If two parts of your business need different deal stages, the free edition cannot represent that.

Zoho CRM free vs HubSpot free: which gives more?

On seats, Zoho: its free edition is 3 users, while HubSpot's Free Tools card states "Free for up to 2 users." Beyond that the two tiers are shaped differently — HubSpot bundles free marketing, sales, service, content and data tools, while Zoho gives a deeper sales-force-automation core with a hard 5,000-record ceiling. HubSpot's Starter card renders "$7/mo/seat" above a struck-through "$20/mo/seat" under a limited-time new-customer promotion, and the billing toggle was obscured on the page I read, so I cannot say which cycle the $7 belongs to.

Is Bigin cheaper than Zoho CRM?

Yes, at every comparable step. Bigin Express is $7/user/month billed annually ($9 month-to-month) with 50,000 records, email and WhatsApp integration and mass email — against Zoho CRM Standard at $14/$20. Bigin's free plan is tighter than Zoho CRM's (single user, 500 records, 3 automations, single pipeline) but includes a built-in phone, Zapier and appointment scheduling. Bigin is a pipeline tool rather than a full CRM platform; if you do not need Zoho CRM's module depth, the smaller product is the better-priced one.
